Operations and Inventory Coordinator

The Operations and Inventory Coordinator ensures the smooth logistical and operational functioning of their department by supporting production, service, and management teams through purchasing coordination, inventory tracking, equipment preparation, and delivery management. They play a key role in the seamless flow of daily operations, ensuring that necessary resources are available at the right time and in the right place.

Job Responsibilities

Purchasing

  • Prepare purchase orders in the Avantage system, send them to suppliers, and follow up on pickups and/or deliveries.
  • Purchase certain products at big-box stores when required.
  • Negotiate with suppliers to obtain the best prices and discounts, and maintain long-term agreements with key suppliers.
  • Compare prices and shop around for the various materials needed for projects.
  • Approve purchase invoices related to mechanical items as well as materials.

Inventory

  • Conduct a daily inventory check and ensure rigorous follow-up.
  • Carry out a physical inventory count once a month.
  • Manage material issue and return from job sites in the system:
  • Assignment to the correct project, Return to inventory
  • Create and manage products in the system
  • Order materials as needed, based on inventory or project requirements.
  • Keep the inventory up to date in the system at all times, as it is accessible to all users.

Production and Service

  • Prepare materials and equipment for production and service teams.
  • Coordinate deliveries to job sites:
  • Planning of deliveries and pickups
  • Management of deliveries carried out by the warehouse clerk
  • Assist the production director with service and production operations.
  • Communicate closely with operations in order to:
  • Ensure follow-up on materials returning from job sites;
  • Understand material needs for the various projects;
  • Plan orders and replenishments accordingly.
  • Ensure that required materials are available in a timely manner to avoid any slowdown in operations.
  • Collaborate with the various departments to ensure effective management of purchasing, inventory, and supply.

Requirements

  • DEC or training in management, logistics, administration, or a related field (or equivalent experience).
  • Relevant experience in inventory management or procurement.
  • Proficiency with computer tools, including Excel and an inventory management system.
  • Valid driver’s licence (Class 5).
  • Knowledge of the industrial, commercial, and institutional roofing sector (an asset)

You must possess

  • Experience in inventory management, procurement, or operations coordination (construction or roofing sector an asset).
  • Knowledge of inventory management software and proficiency in the Microsoft Office suite, particularly Excel.
  • Strong organizational, planning, and prioritization skills.
  • Supplier negotiation skills.
  • Rigour and attention to detail in managing inventory data.
  • Ability to work in a team and communicate effectively with multiple departments.
